We’re looking for a seasoned Account Coordinator with a minimum of 2+ years of experience of being on a desk that can come in and hit the ground running and support the team.

This position is responsible for providing communications and administrative support to the clover PR team and is integral to the department’s success as that person will often serve as the first touchpoint to the department both internally and externally. The position requires a person who possesses clear and responsive communications skills; a high-level of organization, forward thinking, documentation and follow through; and professionalism.

Specifically, this position will serve as a departmental liaison with other staff across the organization, clients and consultants; fulfill scheduling, coordinate agendas and take notes for sync calls, brainstorms and strategy sessions and department meetings; set up virtual and in-person meetings; organize and maintain press lists, field media requests, Awards research, Editorial calendars, and create pitch letters.

This person should be personable, proactive- a go-getter ready to dive right in and get started!  

This position will work closely with department staff and interface with people in and outside of the organization daily. The position reports directly to the Director of PR and supports the CEO and Account Managers. Ideally this candidate is based in CA, GA or MA.

What You’ll be Doing: 

  • Provide support for clover PR accounts
  • Create new client onboarding folder and documents for new clients
  • Schedule internal and client meetings (calendar invites, Zoom, etc)
  • Search for press breaks and circulate to client
  • Research media coverage and industry trends
  • Create materials for accounts (sync meeting agendas, monthly reports, etc.) 
  • Send agendas
  • Send follow up email with action steps
  • Track and managed deadlines to alert team/client of any upcoming deadlines and missed deadlines to keep accounts on track 
  • Curate and manage media lists
  • Participate in brainstorming and planning sessions
  • Send media requests to clients
  • Support clover PRs Social Media Content Manager with content creation, content management and daily monitoring and outreach to increase brand awareness 
  • Proactively undertake any administrative duties needed for account

Who You Are:

  • Minimum of 2+ years of experience in a relevant communications, PR agency, publicity firm or marketing position required.
  • Experience with media and digital management software such as Muckrack, Canva, Cision, Planoly, etc. 
  • Experience with managing multiple calendars and scheduling utilizing Google Drive, Excel and Zoom.
  • Experience with Asana, HourStack or other project management systems as well as creating forms and surveys via Google Forms, Flodesk, etc. 
  • Strong verbal and written communication skills.
  • Excellent organizational and interpersonal skills.
  • Creative problem-solver with the ability to adapt to changing priorities and respond to communication needs.
  • Proactive and always thinking two steps ahead to project needs of a situation
